1 General

This Privacy Policy describes how we process your personal data when using our website and the services associated with it. These processing activities are always carried out by Ossia Music, Philipssite 5 bus 1, 3000 Leuven (Belgium) with enterprise number BE0772.623.311.

Protecting the personal data of customers and visitors is very important to Ossia Music. Therefore, we make every effort to ensure data protection and to comply with the provisions of the General Data Protection Regulation (GDPR) whenever we process your personal data.

In more concrete terms, Ossia Music will always handle personal data for specific purposes in accordance with the law. We shall take the necessary steps to never request more personal data than is required for the purpose in question and furthermore not to retain such personal data for longer than is necessary. Finally, Ossia Music implements technical and organisational measures to ensure appropriate security for the protection of personal data.

This Privacy Policy was last updated on the 6th of December 2021. Ossia Music reserves the right to amend this Privacy Policy later. Changes will be clearly communicated in this Privacy Policy.

2 Ossia Music

Ossia Music is generated to bring the ultimate tools for musicians. Our mission is to help musicians and starting musicians with their instrument(s). To do this Ossia Music will produce different products which can be bought on our webshop. We also want to make an effort by informing new customers by blog articles which will be generated periodically.

3.1 Which personal data do we process?

Ossia Music shall only process your personal data (first name, surname, your order, email address) in order to communicate via email, via the contact form on the website, or directly with one of our employees.

We use Google Analytics & google search console to help us understand how our customers use the Site. When you visit the Site, we collect certain information about your device, your interaction with the Site, and information necessary to process your purchases. 3.2 Why do we process your personal data?

Ossia Music shall only use your personal data in the context of a professional relationship.  

3.2.1 In order to finalize your order

Ossia Music processes your personal data in relation to your specific order. Only this way we are able to deliver your order and to keep you updated on the status of your order. This includes processing your payment information, arrange for shipping, and provide you with invoices and/or order confirmations, communicate with you, screen our orders for potential risk or fraud, and when in line with the preferences you have shared with us, provide you with information or advertising relating to our products or services.

Furthermore, to fulfil our administratieve obligations, we are required by law to retain these personal data for 7 years.

3.2.2 Information requests or remarks

Whenever you contact us in any way, shape or form, we will process the relevant personal data in order to help you with your question or remark. This information will be added in our customer system so that we can offer you an even better service in the future.

In order to fully process your requests for information, we will keep your personal data for this activity as long as you are a customer of ours. If you are not a customer of Ossia Music we will delete this data six months after your request was answered.

3.2.3 Newsletters & optimizing website

We believe it is important to have a good relationship and communication with all our (potential) customers. Therefore, we will contact you to keep you informed of relevant offers/promotions and of innovations and novelties that you may find interesting.

For the processing of personal data under this activity, Ossia Music will use its legitimate interest. We will also process your personal data for this purpose if you have given your consent to receive newsletters & blogs.

If you receive these communications from us, you can indicate at any time that you no longer wish to receive them.

3.3 Do we share your personal data with others?

Ossia Music shall not pass personal data on to other parties, which may use the same for their own purposes. Ossia Music uses a number of processors (e.g. Shopify, Mailchimp), which means that these parties are only permitted to process your data for the purposes specified by us. Under no circumstances shall they process your personal data for their own purposes.

We may share your personal data to comply with applicable laws and regulations.

Ossia Music shall take the necessary steps to process your personal data solely within the European Economic Area.

4 What rights do you have and how can you exercise them?

You have the right to access all personal data concerning you that we process. You may also receive a copy of this data, which we shall send to you on paper or digitally. You can request this by sending an email to info@ossia-music.com.

4.2 Rectification of your personal data.

You have the right to request that we rectify your personal data if they are incorrect or incomplete. You may also request that we temporarily stop using your personal data until they are rectified or completed. You can request this by sending an email to info@ossia-music.com.

4.3 Withdrawing your consent.

You have the right to withdraw your consent at any time. You can request this by sending an email to info@ossia-music.com.

4.4 Erasure of your personal data.

You have the right to request the erasure of your personal data in case they are no longer required for the purposes of this Privacy Policy or if you withdraw your consent to the processing. You can request this by sending an email to info@ossia-music.com.

Attention: We are not obliged to erase your personal data if we are required or permitted to retain them on the grounds of a legal obligation.

You have the right to receive your personal data in a universally readable format such as a text file or other digital file.
